You just got a property leased - congratulations! 🎉 Now you're probably wondering what happens next. In this article, we'll explain how we uninstall items we placed at the property (like yard signs and locks) and how we coordinate move-ins for the new tenant.
Once you and your client approve an applicant, we help with four main things:
1. We help collect funds related to move-in. This includes the security deposit and any other fees. Note: We do not collect ongoing rent payments.
2. We draft and coordinate getting the lease signed.
3. We coordinate move-in by providing property access to the new renter.
4. We uninstall any marketing items we installed during the property set up, such as yard signs, Supras, Sunlocks, and combo lockboxes.
Anything outside of these tasks is the responsibility of the property owner or property manager, such as: utilities (electricity, water, gas, trash, etc), renter insurance, re-keying, ongoing rent collection, and any cleaning or make-ready processes.
Let's look at how the process of property take-downs and move-in works in 3 time periods: 1.) After the lease is signed, 2.) Move-in, and 3.) Post move-in.
After the Lease is Signed: Leading Up to Move-In
You just got a lease signed! The renter move-in date will be listed at the top of the property page summary in your partner portal. You can pull up the property page at any time to check next steps in the process, property access, and current move-in date.
Sunroom will make an email introduction between the landlord and the new tenant after the lease is signed. Here's an example of an email your client and the new tenant will receive upon lease signing:
Hello everyone! We have received the completed lease agreement for [Address]. Congratulations on leasing your home! Jane - I'd like to introduce to you Marsha. They will be your new landlord for the duration of your lease. Marsha - Jane will be your new tenant that will be moving in on [Date]! Please let them know the next steps for setting up any utilities and other pertinent information regarding the home. For keys, we will send you an email at 3PM the day before your move in with a code to the combo lockbox at the property. It was a pleasure working with you all! —
A few days days after the lease is signed, Sunroom will go to the property to take down any items installed during the property set up. This could include the Sunlock, yard sign, and Supra. This will take the property offline and return property access to the owner's original lock and key. The combo lockbox will remain at the property with the owner's original key to help us coordinate move-in with the new renter.
You do not need to participate in the takedown at all - we have it all covered! We handle the entire take-down process, even if the renter moves in sooner than first planned. You will get notifications and an email every time something is uninstalled at the property.
The combo lockbox code will remain visible in the property page of your partner portal. The owner and any other vendors can continue to use the key code for the combo lockbox to access the property. We will share the combo lockbox code with the renter the day before they move in.
For any questions that the renter has about move-in, we direct them to landlord. If there's a change requested for the move-in date, we coordinate with both sides to make sure it works for all parties. We can amend the lease to reflect an updated move-in.
Move-In
Sunroom will send another email to the owner and the renter at 3pm on the day before move-in. This email will include details with move-in instructions and the code to the combo lockbox. After Sunroom coordinates the key exchange, the owner or property manager must coordinate any other communication, rent collection, support, etc to the renter. We recommend you or your client communicates the property highlights (ie: any shared amenities like community pools or gym), utility set up and information, and ongoing rent collection.
Sometimes our partners or owners want to meet the new renter at the property for move in. Please let us know in advance and we can amend our key exchange instructions in our email.
If the move-in is during the weekend or if it's within 24 hours of the lease sign, we will take an expedited process to accommodate a fast move-in. In these cases, we often instruct the renter to move in with the Sunlock access. We will perform the property take down and reinstall the owner's original lock and key within 48 hours.
Post Move-in
Sunroom will return to retrieve the combo lockbox within a few days after move in. If your client is planning to re-key the property, we ask that they plan to do this after the move-in is coordinated. Your client will be responsible for re-keying.
Depending on how you chose to work with Sunroom, you or your client will be billed shortly after the lease is signed. You can expect to receive an invoice via email. Read more about how billing works here>
