Lease Drafting & Signing
When you and your client approve a tenant, Sunroom will begin drafting a lease agreement based on the standard TAR lease template. We use the TAR (Texas Association Realtors) lease, because it is standard, landlord-friendly, and recognized throughout the state. As a partner, you can upload your own documents and addendums through your partner portal for us to use during the lease agreement drafting process. We can and do use custom templates for partners and keep them on file for any leases we do for you in the future.
We do all of our lease sending, editing, and signature collections through Docusign. This allows us to keep digital records, iterate, and collect signatures easily and quickly.
Once we draft up the lease agreement, we will send the initial lease agreement to you (the partner) first to review. Your client must sign page 16 to approve.
Collecting the Security Deposit
Sunroom will collect the security deposit from the renter. Once the security deposit is collected, we will send the renter(s) the approved lease to sign. With Docusign, it will consecutively ask each renter to sign and complete the lease before sending to the next renter. Read more about Security Deposits here>
After the security deposit is sent, we start the “take down” process at the property. This includes removing the yard sign, uninstalling the Sunlock and reinstating the original owner’s deadbolt (if applicable).
Once we get all renter signatures, we will send it back to you and your client for their final signature. At this point, we consider the lease executed and completed.
Move-In
After the lease is completed, Sunroom will connect the renter to your client and the move-in process is kicked off. We will prompt the landlord to share utility and rental payment information and communicate rent payment methods to their new tenants. Sunroom is not responsible for collecting first month’s rent or monthly rent.
Sunroom will confirm that the tenant has paid the first month’s rent. The day before the tenant’s move-in date, we will send access instructions and how to get their key to the tenant via email.
